Administrative Affairs Assistant for The American University in Cairo
Purpose:
The job holder will perform all the duties pertaining to the students as assigned, in addition to various routine administrative and general office duties involving transcription, typing, and file maintenance. In addition to any other secretarial or administrative tasks needed upon request.
Responsibilities:
Ensure customer-orientation of the office by answering telephones, answering and handling inquiries, and directing and referring inquiries to appropriate action offices
Perform standard office procedures, draft correspondences, data entry, scanning, photocopying correspondence, proposals and reports
Prepare custom clearance, shipping clearance requests, declaration forms in English and Arabic
Prepare and process orders for printing material (Brochures, certificates, business cards and so on
Maintain filing system and provide filed documents whenever needed
Access SAP operations and order stationary and office supplies
Coordinate activities with different offices at The American University in Cairo (AUC)
Support office business needs and projects as needed
Provide administrative support to internal and external facility users
Respond to users’ requests concerning usage fees and gate clearance
Arrange with the security office for gate clearance of external users and visitors
Assist in the logistics of events
Manage the database of mailing address, cell phone, ID, email of internal and external users
Access SAP operations, and record the overtime of staff
Record and track usage fees for every usage on shared Google sheet and follow up for any missing details
Prepare collection advice forms for internal and external users and follow up on payment
Receive and file payment proofs and signed service sheets for users
Follow up on missing payments
Manage reservations of the STRC meeting room
Make necessary arrangements for meetings including HDMI connectivity, videoconferencing and catering
Handle car reservations and other transportation services when needed
Prepare online order forms for services requested from AUC Facilities
Keep equipment inventory lists up to date
Update website content and follow-up with AUC communication office on publishing of content
Assist in the preparation of required statistical reports
Perform any other related duties as assigned
Requirements:
Minimum Education Requirements:
University degree is required
Experience:
At least 1 – 3 years of experience in related field
Skills:
Ability to maintain high confidentiality, operate individually and as a member of a team
Must be able to multi-task, meet deadlines and work well under pressure in a fast-paced environment
Good command of English, written/spoken
Fluent in Arabic
Good communication/interpersonal skills
